Text Snippets: Reusable Message Templates

Save time and stay consistent by creating reusable text snippets for your most common messages to parents and families. Insert them instantly into texts, emails, and automations.

What are Text Snippets?

Text snippets are pre-written message blocks you can drop into any conversation, campaign, or automation. Perfect for FAQs, tour confirmations, waitlist updates, or enrollment reminders—any message you send repeatedly.

When you save a snippet, it's instantly available across your Enrollio platform. Your team stays on-message, and you stop rewriting the same content every day.

Why Use Text Snippets?

  • Save time: Stop retyping or copy-pasting common messages
  • Stay consistent: Everyone on your team uses the same approved language
  • Reduce errors: Pre-approved content means fewer mistakes in parent communication
  • Speed up responses: Answer parent questions instantly from your saved library
  • Include attachments: Attach enrollment forms, handbooks, or brochures (automatically included in campaigns)

How to Create a Text Snippet

Creating snippets takes just a few clicks. Set them up once, use them everywhere.

Step 1: Open the Snippets Section

Click Marketing > Snippets in your left navigation menu. This is your snippet library—where you create, edit, and organize all your saved messages.

Step 2: Create Your Snippet

  1. Click + Add Snippet
  2. Give it a clear, searchable name (like "Tour Confirmation" or "Waitlist Update")
  3. Write your message in the body field
  4. Add attachments if needed (enrollment packets, handbooks, etc.)
  5. Use the mobile preview to see how it looks to parents

Step 3: Personalize with Dynamic Content

Make your snippets feel personal by adding custom fields like parent names, child names, or tour dates. Click the custom values icon to insert placeholders—Enrollio automatically fills them in when you send.

The live preview shows exactly how your message will look with real contact information.

💡 Pro Tip: For text messages, watch the character count at the bottom. Messages over 160 characters split into multiple segments, which affects your text message costs.

Step 4: Test and Save

Before saving, send yourself a test message. Enter your mobile number and click Send Test to see exactly what parents will receive. When it looks good, click Save.

Using Snippets in Conversations

When chatting with parents in your Conversations tab, snippets make responses instant.

  1. Open any conversation with a parent or prospective family
  2. Click the Snippets icon in the message composer
  3. Search or scroll to find your snippet
  4. Click to insert—it drops right into your message
  5. Edit if needed, then send

Perfect for answering common questions like "What are your hours?" or "Do you have openings?" without typing the same answer fifty times.

Using Snippets in Automations

Add snippets to your automated workflows to maintain consistency across all your parent communication.

  1. Go to Automation > Workflows
  2. Open an existing automation or create a new one
  3. Add a Send SMS or Send Email action
  4. In the message editor, click Templates
  5. Select your snippet from the dropdown
  6. The text appears in your message body—edit if needed
  7. Save your automation step

This keeps your automated tour confirmations, waitlist updates, and enrollment reminders on-brand without recreating content every time you build a new automation.

Managing Your Snippet Library

Keep your snippets organized so your team can find what they need quickly.

In Marketing > Snippets, you can:

  • Edit any snippet to update the content
  • Delete outdated snippets you no longer use
  • Organize into folders by category (tours, enrollment, billing, etc.)
  • Rename snippets to make them more searchable

💡 Pro Tip: Create folders for different communication types—Tours, Enrollment, Billing, Waitlist, General Questions. Your team will find snippets faster when they're organized by purpose.

How Attachments Work with Snippets

Attachments behave differently depending on where you use your snippet. Here's what you need to know:

In Campaigns

Attachments ARE included automatically. When you insert a snippet into a campaign email, any attached files (enrollment forms, handbooks, etc.) come along with it. Perfect for sending resources to multiple families at once.

In Automations

Attachments are NOT included automatically. If you want to attach a file in an automated email, upload it directly in the automation step. The snippet only brings over the text.

In Conversations

Attachments are NOT included automatically. When using snippets in one-on-one conversations, you'll need to attach files separately if needed.

⚠️ Important: Only campaign emails automatically include snippet attachments. For automations and conversations, attach files directly in the message editor.

Common Use Cases for Childcare Snippets

Here are some snippets every childcare center should have ready:

  • Tour confirmation: "Thanks for scheduling! Here's what to expect..."
  • Waitlist update: "A spot just opened up in our [age group] classroom..."
  • Enrollment next steps: "Welcome! Here's how to complete enrollment..."
  • Hours and contact info: Quick response with your center's basic details
  • Tuition and fees: Standardized pricing information
  • What to bring on first day: Checklist parents can reference
  • Sick policy reminder: When to keep children home
  • Payment reminder: Friendly nudge for upcoming tuition

Frequently Asked Questions

Can I use snippets in both emails and text messages?

Yes. Snippets work in both channels. Just remember that text messages have a 160-character limit per segment—watch the character count when creating SMS snippets.

Can I organize snippets into folders?

Yes. Create folders to organize snippets by type (tours, enrollment, billing, etc.) so your team can find them quickly.

Is there a limit to how many snippets I can create?

There's no set limit, but keeping your library organized and focused makes them easier to use. Quality over quantity—create snippets for messages you actually send regularly.

Who can create or edit snippets?

This depends on your user roles and permissions. Typically, administrators and managers can create and edit snippets for the whole team to use.

Can I add images or formatting to snippets?

Yes. Snippets support formatted text and images, making them flexible for different types of parent communication.

Will snippets affect my email deliverability?

No. Using snippets doesn't impact deliverability. Just make sure your content follows email best practices—avoid spam trigger words and include clear sender information.

Can I use snippets in all automation actions?

You can insert snippets into any automation action that includes a message editor, like Send SMS or Send Email. They're not available in non-messaging steps like Wait or If/Else conditions.

What if I update a snippet—does it change everywhere?

No. When you insert a snippet, it copies the text into that message. If you later edit the snippet, it won't update messages you've already created. This prevents accidentally changing live automations or scheduled campaigns.
