Getting Started with the Conversations Tab

What is the New Conversations Experience?

The Conversations tab has been completely redesigned to help you manage parent communication faster and more efficiently. Whether you're replying to tour requests, following up with waitlisted families, or coordinating with your team, the new interface keeps everything you need in one place.

The redesign introduces a four-panel layout, a unified right panel for family context, advanced filtering (including tags with AND/OR logic), and an upgraded email composer that supports full-screen drafting or quick inline replies.

  • Single-screen context: View family details, enrollment opportunities, payment history, and documents alongside the conversation—no more jumping between tabs.
  • Precision filtering: Use tags plus AND/OR operators to create focused queues you can save as views for one-click access.
  • Flexible composing: Use full-screen email for detailed enrollment information; use inline replies for quick tour confirmations.
  • Built-in collaboration: Internal comments and @mentions keep team discussions private and organized.

Navigation and Layout

The redesigned Conversations tab uses a four-panel layout that you can customize based on your preference. All panels are collapsible, so you can adjust your workspace for more reading or reply space when needed.

To collapse or expand panels:

  • Click the collapse icon in the middle of the Inbox Panel to hide/show your inbox options.
  • Click the tab icon on the right edge of the screen to hide/show the Right Panel.

1. Inbox Panel

The Inbox Panel controls which set of conversations you're viewing—personal, team, or internal chat—so you can switch context quickly without changing pages.

My Inbox: Conversations assigned to you or followed by you—perfect for managing your own parent relationships and tour follow-ups.

Team Inbox: All conversations within your childcare center (requires full data access). Great for directors and managers overseeing all family communication.

Internal Chat: Private, team-only discussions separate from parent conversations—use this for coordinating tours, discussing enrollment decisions, or sharing internal notes about families.

Pro Tip: If you have Assigned Data Access, you'll see My Inbox and Internal Chat but not Team Inbox. Users with full access permissions can view and manage all three.

2. Chat List Panel

The Chat List Panel displays all conversations based on the inbox, folder, or filter you've selected. This is where you scan, select, and take bulk actions quickly.

Key features:

  • Bulk actions: Check the select box at the top to mark conversations as Read/Unread, Star/Unstar, or Delete multiple conversations at once.
  • Sort options: Sort by newest or oldest activity to prioritize urgent tour requests or follow up on older inquiries.
  • Filter icon: Filter by channel (email, SMS, WhatsApp), tags, owner, and date—supports AND/OR combinations for precise control.

3. Message History Panel

The Message History Panel is your main reading and reply area. It supports multi-channel timelines, quick replies, and message-type filtering to find context fast.

What you can do:

  • Read the full history across Email, SMS, WhatsApp, Facebook/Instagram messages, and Internal Comments—all in one timeline.
  • Filter the visible timeline to focus on specific items (see Filtering Messages section below).
  • Reply directly using the composer at the bottom of the panel.

Switching Between Channels

Choose the best channel for each reply without leaving the thread—ideal when a parent texts you about a tour but you want to send enrollment paperwork via email.

  1. Open the channel selector in the composer at the bottom of the conversation.
  2. Choose your preferred channel (Email, SMS, WhatsApp, etc.).
  3. Select Internal Comment to add a private note that the parent won't see.
Pro Tip: If you collapse and reopen the composer within the same conversation, Enrollio remembers the last channel you selected so you can continue where you left off. Internal comment drafts persist across channel switches, composer collapse/expand, and conversation changes.

Message Composer

The composer gives you the tools to write clearly, attach files, and send through the correct channel—all from the bottom of the conversation.

Composer features:

  • Text formatting: Bold, italics, lists, and links for professional emails.
  • Inline Reply: Composer opens directly below the active message, keeping context visible while replying.
  • Full-screen mode: Click the expand icon for long replies like enrollment instructions or program details.
  • File attachments: Attach enrollment forms, photos of your facility, or any documents parents need.
  • Quick paste: Paste files or images directly from your clipboard into the composer (Ctrl + V on Windows, Cmd + V on Mac).
  • Quick send: Click the send icon on the right or use keyboard shortcuts.

Filtering Messages Within a Conversation

Timeline filters help you isolate specific parts of a long thread—like only emails, only internal notes, or only enrollment activities—so you can find context quickly.

Use the message filter at the top-right of the timeline to show:

  • All messages
  • Conversations (direct exchanges with the parent)
  • Activities (tour appointments, enrollment updates, etc.)
  • Email / Internal Comment / Families / Enrollment Opportunities / Payments / Invoices / AI Action Logs
Pro Tip: Use the search bar within the filter menu to locate message or activity types faster when working with long conversation histories.

4. Right Panel

The Right Panel centralizes family context so you can view and edit details, files, payments, and related records without leaving the conversation. Everything you need to manage a family's enrollment journey lives here.

What you can do from the Right Panel:

  • View and edit family details, custom fields, folders, tags, and assigned owner
  • Create and view enrollment opportunities, tour appointments, invoices, and payment history
  • Switch between tabs: Family, Activities, Associations, Documents, and Payments
  • Access everything that was previously only available on the Families page—now integrated right into the conversation

Tags Filter

You can now filter conversations based on tags, allowing precise segmentation by category or stage in your enrollment process.

Examples:

  • View all conversations tagged as High Priority
  • See all families marked with Tour Scheduled
  • Find everyone tagged Waitlist

Multiple tags can be applied simultaneously for refined control—combine them with AND/OR operators for even more precision.

AND / OR Operators

The new filtering system supports conditional operators, giving you flexibility to combine multiple criteria and create powerful saved views.

Use AND to display conversations that meet all selected conditions:

  • Example: Conversations tagged High Priority AND assigned to you
  • Example: Conversations from Email AND tagged Enrollment Opportunity AND dated within the last 7 days

Use OR to display conversations that meet any of the selected conditions:

  • Example: Conversations from Email OR SMS
  • Example: Conversations tagged Tour Requested OR Waitlist
Pro Tip: Save your most-used filter combinations as views for one-click access. Create views like "Tours This Week," "High Priority Enrollments," or "Families Needing Follow-up" to streamline your daily workflow.

Email Composer Enhancements

The email composer has been upgraded with two flexible modes to match how you work.

Full-View Composer

Click the expand icon to open the full-screen composer—perfect for drafting detailed enrollment welcome emails, program information, or policy documents that need your full attention.

Inline Reply Experience

For quick responses like tour confirmations or simple questions, use the inline composer that opens directly below the parent's message. You keep the context visible while you type.

Keyboard Shortcuts

Save time with keyboard shortcuts for common actions:

  • Ctrl + Enter (Windows) or Cmd + Enter (Mac): Send message
  • Ctrl + V (Windows) or Cmd + V (Mac): Paste files directly into composer

Frequently Asked Questions

Q: Can I still see all my family conversations if I only have limited access?
A: If you have Assigned Data Access, you'll see conversations assigned to you or that you're following (My Inbox) plus Internal Chat. You won't see Team Inbox unless you have full data access.

Q: Do internal comments appear in the parent's view?
A: No. Internal comments are completely private and only visible to your team. Parents will never see internal notes, even if they're viewing the same conversation.

Q: Can I switch channels in the middle of a conversation?
A: Yes! Open the channel selector in the composer and choose any available channel. This is perfect for moving a text conversation to email when you need to send enrollment documents.

Q: Will my filters and views save for next time?
A: Yes. Any filter combinations you save as views will appear in your Inbox Panel for one-click access whenever you need them.

Q: What happens to draft messages if I switch conversations?
A: Internal comment drafts persist when you switch conversations, collapse the composer, or change channels. Regular message drafts are saved per conversation.
