What are Quick Replies?
Quick Replies (also called Snippets) are reusable text templates that save you time when messaging parents. Instead of typing the same response over and over, create a template once and use it whenever you need it.
Quick Replies help your team stay consistent and professional — whether you're answering common questions, confirming tour times, or following up with waitlisted families. You can personalize each message with parent names, child names, or other details automatically.
Why Use Quick Replies?
Busy childcare owners and staff don't have time to type the same messages repeatedly. Quick Replies solve that by:
- Saving time — no more retyping common responses
- Keeping messages consistent — everyone on your team uses the same approved language
- Reducing errors — pre-written templates mean fewer typos and mistakes
- Staying professional — maintain your center's voice in every conversation
Use Quick Replies for tour confirmations, waitlist updates, enrollment reminders, parent FAQs, and any other messages you send regularly.
Where to Find Quick Replies
You can access Quick Replies in two places:
Option 1: From Conversations
- Click Conversations in the left menu
- Select Snippets at the top of the screen
Option 2: From Marketing
- Click Marketing in the left menu
- Select Snippets
How to Create Quick Replies
Create a New Quick Reply
- Go to Conversations > Snippets or Marketing > Snippets
- Click Add Snippet
- Choose Text (for SMS) or Email
Name Your Quick Reply
Give your snippet a clear, descriptive name so your team can find it easily. Examples:
- "Tour Confirmation"
- "Waitlist Update"
- "FAQ: Hours of Operation"
- "Enrollment Form Reminder"
Write Your Message
Compose your message in the text box. Use the Custom Values button to add personalization like parent names, child names, or enrollment details. These placeholders automatically fill in when you use the snippet.

Check the preview on the right to see how your message looks. You can send a test message to yourself to make sure everything appears correctly.
Save Your Quick Reply
Click Save when you're done. Your snippet is now ready to use.
Organize Quick Replies into Folders
As you create more Quick Replies, organize them into folders so your team can find what they need quickly.
Create a Folder
- Click Add Folder
- Name the folder (examples: "Tours," "Enrollment," "Waitlist," "FAQs")
Move Snippets to Folders
- Click the three-dot menu next to a snippet
- Select Move to Folder
- Choose the destination folder
Bulk Move Snippets
Select multiple snippets at once and move them all to a folder in one step — perfect when you're organizing a large collection.
Find Snippets Quickly
- Use the search bar to find snippets by keyword
- Use filters to show only Text or Email snippets
- Use the three-dot menu to edit, duplicate, or delete snippets
Use Quick Replies in Conversations
Once you've created your Quick Replies, here's how to use them when messaging parents:
- Open any conversation thread
- Click the Snippets icon at the bottom of the message box
- Browse folders or search for the snippet you need
- Click the snippet to insert it into your message
- Edit if needed, then send
Staff Permissions
To use Quick Replies in Conversations, staff members need the right permission enabled.
Enable Snippet Access
- Go to Settings
- Click My Staff
- Select the team member
- Click Roles & Permissions
- Turn on the Conversations toggle
- Check the box for View & manage conversation
- Click Save
Without this permission, staff won't see the Snippets feature or be able to use Quick Replies.

Can I personalize Quick Replies for different parents?
Yes. Use Custom Values to automatically insert parent names, child names, enrollment dates, or any other details from your system. This makes every message feel personal, even though you're using a template.
Is there a limit to how many Quick Replies I can create?
No limit. Create as many as you need and organize them into folders. Use the search and filter tools to manage large collections easily.
Can my whole team use the same Quick Replies?
Yes. Quick Replies are shared across your team, so everyone can use the same approved templates. This keeps your messaging consistent no matter who's responding to parents.
How do I update or delete a Quick Reply?
Click the three-dot menu next to any snippet and choose Edit or Delete. You can also move snippets between folders to keep things organized.
