Complete Guide to Media Storage

This guide shows you how to navigate and use Media Storage in Enrollio. From uploading and organizing files to managing storage and connecting Google Drive, these features are designed to make managing your enrollment site assets smooth and intuitive.

Accessing Media Storage

Click Media Storage in the left sidebar of your dashboard.

Uploading Files

Upload files using drag-and-drop — just drag media from your computer into Media Storage. No buttons required.

You can upload font files (.ttf, .otf, .woff, .woff2) up to 100MB to customize branding in your enrollment sites and landing pages using Custom CSS.

View Storage Usage

Get a breakdown of how much storage your account is using and where it's coming from. The storage modal shows:

  • Total storage with a color-coded bar
  • Per-module breakdown (Media Library, Conversations, Contacts, Calendar)
  • Usage by file type when you expand each module (Images, Videos, Documents, Audio)

To view storage usage:

  1. Click the three-dot menu (⋮) in Media Storage
  2. Select Storage
  3. Click any module to see usage by file type

Sorting Media

Organize your media library using these sorting options:

  • Sort by Name: A to Z / Z to A
  • Sort by Size: Smallest First / Largest First
  • Sort by Modified Date: Newest First / Oldest First

Grid and List View

Toggle between Grid View and List View based on your preference. Both views show enhanced file details.

Grid View: Each image displays a badge showing Landscape, Portrait, or Square format.

List View: Width × Height dimensions appear next to each image name, so you can quickly assess if it's right for your enrollment page design.

Note: Older uploaded images may not immediately display dimensions due to background processing.

Quick Actions

Access file options faster using the right-click menu or hover-over buttons:

  • Rename
  • Delete
  • Move to Folder
  • Preview
  • Insert

Insert & Preview Features

When using Media Storage in your enrollment site builder or landing page editor, you'll see:

  • Insert Media button for single file selection — instantly insert without navigating away
  • Preview option accessible from the three-dot menu
  • Insert from Preview Screen — no back-and-forth between views

Folder Management

Collapse or Expand Folders

If you have many folders, collapse the Folders section to reduce clutter and focus on your files.

  1. Click the arrow next to Folders to collapse the folder list
  2. Click again to expand it

Move Entire Folders

Move entire folders with all their contents, including nested files and subfolders.

  1. Click the three-dot menu (⋮) next to any folder
  2. Select Move to Folder
  3. Choose an existing folder or create a new one
  4. Confirm the move
Note: All subfolders stay intact during the move.

Trash Functionality

Deleted media files move to Trash where they remain for 30 days before permanent removal.

  1. Click the three-dot menu in the top right
  2. Select Trash
  3. Choose a file to Restore or Delete Permanently
Important: Files are non-recoverable after 30 days.

Google Drive Integration

Connect Drive lets you import files from Google Drive (owned files only).

Important: We can only show files that you own. Shared files or shortcuts to shared files won't display due to Google Drive's access and permission restrictions.

Workaround: Create a copy of any shared file instead of using a shortcut — this ensures it appears and works as expected.

Privacy Protection

When using the "Login As" feature (for admin access to a client account):

  • The Connect Drive button is disabled and grayed out
  • Google Drive data of the original user will not display

This ensures strict privacy protection for your families and staff.

Integration Across Enrollio

Media Storage is integrated throughout the platform. Whether you're editing a landing page or building an enrollment site, media opens in a modal window — not full screen — for a smoother, less disruptive experience.

Pro Tip: Drag-and-drop uploads work even when Media Storage opens inside a modal. Drop files anywhere in the modal to upload before inserting.

File Size Limits by Product

Files can be uploaded through forms by creating a Custom Value of type File Upload. Here are the size limits for different file types across Enrollio:
