Set Up Phone Menu for Incoming Calls

Want parents calling your center to reach the right person automatically? The "Start Phone Menu" trigger lets you create an interactive voice menu that guides callers through options — like "Press 1 for Enrollment" or "Press 2 for Current Families."

This helps route calls efficiently without needing someone to answer every time.

Note: Voicemails cannot be tracked using this phone menu trigger.

What It Does

The Start Phone Menu trigger launches an interactive voice response (IVR) system when someone calls a specific phone number connected to your Enrollio account. Callers hear pre-recorded prompts and use their keypad to navigate to the right department or information.

Perfect for directing enrollment inquiries, parent questions, or tour requests to the right staff member.

How to Set It Up

  1. Create a new automation in Enrollio and select "Start Phone Menu" as your trigger.
  2. Name your trigger something descriptive, like "Main Line Phone Menu" or "Enrollment Call Router."
  3. Select the phone number that will activate this menu when called. This should be your main center number or dedicated enrollment line.
  4. Add filters if needed — for example, only activate the menu during business hours or for specific caller types.
  5. Save and activate your automation. The phone menu will now greet callers and guide them through your options.
Pro Tip: Once you assign a phone number to a phone menu automation, that number can't be used in another phone menu. Make sure you're setting it up on the right number before activating.

Example: Route Calls to the Right Department

Let's say you want parents calling your main line to easily reach enrollment staff, current family services, or your director.

Setup Steps:

  1. Create the automation with "Start Phone Menu" as the trigger.
  2. Name it "Main Line Call Router."
  3. Choose your main business phone number as the trigger number.
  4. Add your phone menu options in the next steps of your automation:
    • Option 1: Enrollment inquiries → route to enrollment coordinator
    • Option 2: Current families → route to front desk
    • Option 3: Director → route to director's line
  5. Save and activate.

Now when parents call your main line, they'll hear your greeting and can select the department they need — no more phone tag or missed connections.
