How to Add Setup Fees to Your Recurring Invoices

Need to charge families a one-time registration fee along with monthly tuition? You can now handle both charges in a single recurring invoice.

What This Means for Your Center

Previously, you had to create two separate invoices: one for the initial registration or enrollment fee, and another for recurring monthly tuition. Now you can combine them into one invoice that automatically handles both charges correctly.

Here's how it works: when you add a setup fee to a recurring product and create an invoice, Enrollio automatically shows two line items for that product—one for the setup fee and one for the recurring charge. When the next month's invoice generates, only the recurring tuition charge appears. The setup fee was a one-time thing.

How to Set This Up

Step 1: Create Your Product with a Setup Fee

  1. Navigate to the Products section in your Enrollio dashboard
  2. Create a new product (or edit an existing one)
  3. Set the price type to "Recurring"
  4. Add your setup fee amount in the setup fee field
  5. Save your product

Step 2: Create Your Recurring Invoice

  1. Go to the Invoices section
  2. Click to create a new recurring invoice
  3. Add the product you just created (the one with the setup fee)
  4. You'll see two line items appear for the same product—one labeled with "Setup Fee" and one with your recurring price
  5. Complete and send the invoice as normal

What Happens Next

When Enrollio automatically generates the next invoice according to your schedule, it will only include the recurring tuition charge. The setup fee line item is automatically removed since it was a one-time charge.

Pro Tip: This is perfect for enrollment fees, registration charges, or any other one-time setup cost you need to collect alongside monthly tuition. Parents see exactly what they're paying for, and you don't have to manage multiple invoices.
