Enrollio has built-in email integrations with Google and Outlook that work seamlessly with your platform. We recommend using these direct integrations instead of SMTP — they're easier to set up and give you better email tracking.

When to Use SMTP
SMTP setup is an advanced option for experienced users who need to connect a specific email provider. If you choose this route, you'll configure it yourself with best-effort support from our team.
Important: Most childcare centers should use our built-in integrations — not SMTP.
Before You Set Up SMTP
Match Your Sender Email Address
Your sender email address in Enrollio must exactly match the email you connected via SMTP. If they don't match — or if your email isn't verified with your SMTP provider — your messages won't send.

Check Your Daily Send Limits
Most SMTP providers have daily sending limits. For example:
- Gmail: 100-150 emails per day
- Other providers: Check your provider's documentation
If you need to send bulk emails to families (like newsletters or event announcements), use Mailgun instead.
Email Statistics Limitations
With SMTP, you'll only see opened and clicked stats — not delivered or bounced. We recommend using Mailgun if you need full email analytics.
Common SMTP Setup Issues
1. Email Stuck in "Sent" Status
SMTP providers don't send a "delivered" confirmation. Your email shows as "sent" until the recipient opens it — then it updates to "delivered."
2. Authentication Errors
If you're getting authentication errors even with correct credentials, your provider may require additional security steps. See provider-specific guides below.
3. Missing "Add Service" Button
If you can't see the button to add an SMTP provider:
- Go to Enrollio Dashboard
- Click Client Accounts
- Find your account and click the three dots
- Select Manage Client
- Go to Advanced Settings
- Make sure "Disable the Add Email Service button" is turned off

Amazon SES
To set up Amazon SES:
- Use the server name from your SES SMTP Settings page
- Set port to 465
- Use your IAM Username and Password (save these — you can't view them again)
- Use your Amazon AWS Root User email address

Outlook / Microsoft 365
You may see "Authentication unsuccessful" even with two-step verification turned off. Microsoft now requires SMTP Authentication to be enabled for third-party apps.

Testing Your SMTP Setup
Before using SMTP with families, test it first:
- Make sure email rebilling is disabled while making changes
- Try the GMass SMTP test tool with your credentials
- Send a test message to yourself in Enrollio

How many SMTP providers can I connect?
You can add multiple SMTP providers, but:
- You can't add the same credentials twice
- You can't use the same email address with different integrations
- You can't add the same provider (like Gmail) more than once
Can I use a free email address?
Free email addresses (like @gmail.com or @yahoo.com) have strict sending limits and aren't reliable for business communication. Learn why free email addresses aren't recommended for SMTP.
