Each method helps you meet specific communication needs, from urgent enrollment updates to automated blog notifications.

Send Now

The Send Now option immediately delivers your campaign to selected recipients based on their location time zone. This is perfect for urgent communications like enrollment deadline reminders or last-minute open house announcements.

When to Use Send Now:

  • Urgent enrollment updates or waitlist openings
  • Last-minute event notifications
  • Important policy or schedule changes

Setup Steps:

  1. Choose Send Now from the delivery options
  2. Enter your Sender Email and optional Sender Name
  3. Write a Subject Line and optional Preview Text
  4. Select recipients (Smart List, Tags, Segments, or individual families)
  5. Click Send to deliver instantly

Schedule

The Schedule option lets you pick a specific date and time for delivery. This ensures your campaign reaches families when they're most likely to engage—like weekday mornings for enrollment reminders or weekend afternoons for event invitations.

When to Use Schedule:

  • Tour or open house reminders
  • Seasonal enrollment campaigns
  • Planned newsletters or updates

Setup Steps:

  1. Select Schedule
  2. Pick a date and time (uses your location time zone)
  3. Configure sender details, subject line, and preview text
  4. Select recipients
  5. Confirm scheduling

Batch Schedule

The Batch Schedule option sends large campaigns in smaller groups over a set timeframe. This improves deliverability and prevents server issues when emailing hundreds or thousands of families.

For example, if you have 1,000 families and set batch quantity to 100, your emails will be delivered in 10 rounds at intervals you define.

When to Use Batch Schedule:

  • Large family lists (hundreds or thousands of contacts)
  • Preventing email throttling issues
  • Ensuring consistent delivery rates

Setup Steps:

  1. Select Batch Schedule
  2. Define Start Date/Time and End Time
  3. Set Batch Quantity (number of emails per batch)
  4. Choose Repeat Interval (hours or days between batches)

  6. Save and confirm

Important Notes:

  • End time must be after start time, or you'll see an error
  • The seconds option is not available for repeat intervals
  • Send and Schedule buttons remain disabled until any timing errors are fixed
  • You can edit start time with a simple confirmation

RSS Schedule

The RSS Schedule option automates campaigns based on your RSS feed. Each time your blog or feed updates, an email is automatically generated and sent according to your schedule.

When to Use RSS Schedule:

  2. Enter your RSS Feed URL

Yes. You can edit the time or date up to one hour before sending. For batch and RSS campaigns, you can also edit email content mid-schedule.

No email will be sent until new content appears in the feed. The system checks your feed at the scheduled time and only sends when updates are detected.

Which time zone is used for delivery?
