Using Gmail or Google Workspace as Your Email Provider

This guide walks you through setting up Gmail or Google Workspace to send emails from Enrollio. You'll create an app-specific password with 2-step verification to securely connect your Gmail account.

Important: You cannot use a free email address (like @gmail.com) as your primary email provider in Enrollio. Learn why professional email addresses are required.

Step 1: Create an App-Specific Password

App-specific passwords let Enrollio send emails through your Gmail account without storing your main password. Here's how to create one:

  1. Go to Google.com and sign in
  2. Click your profile icon in the top right corner
  3. Make sure you've selected the correct Google Account you want to use with Enrollio
  4. Click Manage your Google Account

  1. Click Security in the left sidebar
  2. Scroll down to the Signing in to Google section
  3. Make sure 2-Step Verification is enabled (you'll see "On" next to it)

Don't see 2-Step Verification? If you're using Google Workspace, your admin may need to enable this option first. See the section below on enabling 2-step verification for Google Workspace.
  1. Once 2-step verification is enabled, click App passwords
  2. Confirm your email is selected in the dropdown
  3. Type your password when prompted and click Next
  4. Scroll down to find App Passwords
  5. Type an app name (like "Enrollio" or "Email Integration") and click Create

  1. Copy the 16-character app password that appears — you'll need this in the next step
Pro Tip: Keep this password somewhere safe. You won't be able to see it again, but you can always create a new one if needed.

Step 2: Connect Gmail to Enrollio

Now that you have your app-specific password, let's connect it to Enrollio:

  1. In Enrollio, click Settings in the bottom left corner
  2. In the sidebar menu, scroll down and click Email Services
  3. Click Add Service in the top right
  4. In the Select Provider dropdown, choose Gmail

  1. Enter your Gmail login email in the Email field
  2. Paste the app password you copied earlier in the Password field
  3. Click Save

That's it! Your Gmail account is now connected to Enrollio.

For Google Workspace Admins: Enabling 2-Step Verification

If you're a Google Workspace admin and need to enable 2-step verification for your users:

  1. Go to Google.com
  2. Click the 9-dot menu icon in the top right
  3. Scroll down and click Admin
  4. In the main menu (top left), go to SecurityAuthentication2-Step Verification
  5. Make sure Allow users to turn on 2-Step Verification is enabled
  6. Refresh the "Manage your Google account" page to see if 2-Step Verification shows up now

Why use an app-specific password instead of my regular password?

App-specific passwords add an extra layer of security. Enrollio can access your Gmail account to send emails on your behalf without you needing to share your main password.

What if 2-step verification isn't showing up?

If you're using Google Workspace, your admin may have this feature turned off. Contact your Google Workspace admin and ask them to enable 2-step verification in the admin console.

Can I use the same app password for multiple applications?

No. Google recommends creating a unique app-specific password for each application to keep your account more secure. Create separate passwords for Enrollio and any other apps you use.

I set everything up correctly but emails still aren't sending. What now?

Double-check that you:

  • Copied the app password exactly (no extra spaces)
  • Entered your complete Gmail address
  • Have 2-step verification turned on

If you're still having trouble, contact Enrollio support or Gmail support for help.

Can I still use my regular Gmail password after setting up an app password?

Yes! The app-specific password is only for Enrollio to send emails. You'll continue using your regular password when you sign into Gmail normally.

Do I need to use a VPN to connect Gmail?

In most cases, no. If you're experiencing connection issues in certain regions, a VPN might help, but this is rare.
