Overview
Automation Notes let you add comments or descriptions at the automation level. Everyone on your team can see these notes, ensuring everyone understands the purpose of the automation.
This is especially helpful when sharing automations across your team or setting up complex enrollment processes that need clear instructions.
Who Can Add Notes
Admins can add notes specific to each automation.
How to Use
- Click the "Notes" icon from the sidebar while inside an automation to open the notes panel.
- Add your notes to provide descriptions, context, or instructions relevant to the entire automation.
Saving Notes
Your notes save automatically when you save the automation. You won't lose any information.
Tracking
Each note displays who created it, who edited it, and when. This gives you full transparency about changes and updates.
Action-Level Notes (Formerly Known as Comments)
Overview
Action Notes let you attach notes to individual actions within an automation. This is useful when you need to explain the purpose or special conditions of a specific step.
For example, you might add a note explaining why a parent receives a particular text message after scheduling a tour, or why certain families skip a step in your enrollment process.
Who Can Add Notes
Every user can add Action Notes.
How to Use
- Hover over any action in your automation.
- Click the notes icon in the top-right corner of the action.
- Add your action-specific notes.
Visibility
Once you add a note to an action, the notes icon stays visible. This signals that additional context or instructions are attached to that action.
History Tracking
Each note keeps a history of additions, so your team can track discussions, updates, and feedback specific to that action.
Centralized Notes View
All action-level notes can be viewed and searched within the main Notes section. This creates one central location for tracking all notes associated with an automation, making it easy to review and manage them.
Sticky Notes
Overview
Sticky Notes let you add highly visible notes to the automation builder. These notes stay pinned to the builder, making them perfect for communicating critical information or reminders to your team.
How to Use
- Click the "Sticky Notes" icon in the sidebar.
- Select the color of your note.
- The sticky note appears in the builder.
Customization Options
Sticky Notes are highly customizable. You can create notes with different colors to differentiate between categories or types of tasks.
Rich Text Editor
A rich text editor is available for formatting text, making it easier to emphasize key points or structure your notes.
Attach Images
You can attach images to Sticky Notes, making them more visually informative or detailed.
Visibility Controls
Toggle the visibility of sticky notes by clicking the "Hide Notes" button. This lets you decide if you want notes visible at all times or only when needed.
Use Cases
Automation-Level Notes
Add high-level descriptions, objectives, and context to ensure everyone understands the automation's overall purpose. For example: "This automation sends tour confirmations and follow-ups to prospective families who book through our website."
Sticky Notes
Use color-coded sticky notes to create task lists and visual reminders for your team. They're perfect for onboarding new staff members or guiding your team through each action step-by-step.
Example: Use a yellow sticky note to remind your team that enrollment confirmation emails go out every Tuesday at 9am.
Action-Level Notes
Attach notes directly to actions to provide specific instructions, feedback, or background information. This ensures clarity when different team members are managing enrollment automations.
Example: Add a note to a text message action explaining: "This reminder only goes to families with incomplete enrollment paperwork."
Pro Tip: Use different colored sticky notes to organize your automations by priority or category. For example, use red for urgent items, blue for general information, and green for completed tasks.
