Automation Action – Create and Associate Organization

Overview

The Create and Associate Organization action lets you automatically create a new Organization record and link it to the parent or family that triggered your automation. This saves time by eliminating manual data entry and keeps your family-organization relationships organized.

This is especially helpful when parents enroll through forms that include employer information, or when you're tracking multiple families from the same organization.

What This Action Does

Use this action to:

  • Automatically create a new Organization record from a parent/family automation
  • Link the new Organization to the triggering parent or family
  • Map fields dynamically using parent data, automation variables, or form submissions
  • Keep your CRM organized without manual work

Each parent gets linked to their relevant organization — perfect for corporate partnerships, employer-sponsored childcare, or tracking referral sources.

Setting Up the Action

Field Mapping

Map automation variables or fixed values to populate the new Organization's fields.

Example mappings:

  • Organization Name → {{contact.company_name}}
  • Website → {{inboundWebhookRequest.body.domain}}
  • Industry → {{contact.industry}}

Where Values Come From

You can pull data from three sources:

  • Parent/family fields — First Name, Email, Organization Name, custom fields
  • Form submissions — Any data passed through enrollment forms or webhooks
  • Fixed text — Static values like "Corporate Partner" or "New Lead Organization"

Adding More Fields

Click + Add Field to map additional Organization fields. Each row defines one field-value pair that builds your Organization record.

Automatic Association

The Organization you create will automatically link to the parent or family that triggered the automation. You'll see this relationship in two places:

  • In the parent's record under "Associated Organizations"
  • In the Organization's record under "Associated Families"

Save Your Action

Once you've mapped all fields, click Save Action. When your automation runs, it creates the Organization and links it to the parent automatically.

Example Setup

Goal: Create an Organization record when a new parent fills out your enrollment form with their employer information.

Configuration:

  • Automation Type: Parent/Family-based
  • Trigger: Family Created
  • Action: Create and Associate Organization

Field Mappings:

  • Organization Name → {{contact.company_name}}
  • Website → {{contact.email}} (domain extracted)
  • Industry → "Corporate Partner"

How it works:

  1. A new parent submits your enrollment form
  2. The automation triggers
  3. An Organization record is created with the mapped fields
  4. The Organization automatically links to that parent's record

Important Notes

💡 Pro Tip: If a parent already has a linked Organization, this action will create an additional Organization but won't automatically associate it. Use the "Update Associated Organization" action instead if you need to modify existing Organizations.

Keep in mind:

  • This action only works in parent/family-based automations
  • Each time the action runs, it creates a new Organization record
  • You can create multiple Organizations for one parent if needed
