Using Zoho as Your SMTP Email Provider

Using Zoho as Your SMTP Email Provider

Setting up a reliable email provider is essential for communicating with families — from tour confirmations to enrollment updates. This guide walks you through integrating Zoho Mail as your SMTP provider in Enrollio.

SMTP (Simple Mail Transfer Protocol) ensures your emails reach parents reliably. Using Zoho's SMTP server helps maintain professional email delivery from your childcare center's domain.

Before You Start

You'll need your Zoho Mail account credentials and access to your Enrollio email settings. The setup process takes about 5 minutes.

Configuration Settings for Personal Zoho Accounts

If you're using a personal Zoho email address (username@zoho.com), use these settings:

  • Outgoing Server: smtp.zoho.com
  • Port: 465 with SSL or 587 with TLS
  • Authentication: Required (Yes)
Pro Tip: We recommend using a domain-based email address (like director@yourchildcare.com) instead of a free email address. Domain-based emails look more professional to families and have better deliverability rates.

Configuration Settings for Organization/Domain-Based Email

If your childcare center has its own domain and you're using a Zoho organization email (you@yourchildcare.com), follow these steps:

Step 1: Enter Your Server Details

  • Outgoing Server: smtppro.zoho.com
  • Port: 465 with SSL or 587 with TLS
  • Authentication: Required (Yes)

Step 2: Add Your Zoho Credentials

Username: Enter either your Zoho username or your complete email address (you@yourchildcare.com)

Email Address: Your full Zoho Mail address in the format you@yourchildcare.com

Password: Your Zoho account password

Important: If you have two-factor authentication enabled on your Zoho account (recommended for security), you'll need to generate an application-specific password instead of using your regular password.

Step 3: Test Your Connection

After entering your settings, send a test email to verify everything works correctly. This ensures your email communication with families will flow smoothly.

Troubleshooting Common Issues

Authentication failed: Double-check your username and password. If you have two-factor authentication enabled, make sure you're using an application-specific password.

Connection timeout: Verify you're using the correct port number and SSL/TLS setting for your Zoho account type (personal vs. organization).

Emails not sending: Confirm your Zoho account is active and hasn't reached any sending limits.

Next Steps

Once your Zoho SMTP is configured, all emails sent from Enrollio — including tour reminders, enrollment confirmations, and parent communications — will use your professional email address. This helps build trust with families and ensures reliable delivery.
