Mailgun Setup Checklist
Follow this checklist to ensure your Mailgun email service is properly configured with Enrollio. Proper setup ensures your parent communications, tour reminders, and enrollment updates reach their inbox reliably.

Step 1: Verify Your Mailgun Account Level
The Foundation 50k plan is the minimum level needed for full email functionality in Enrollio. The Flex "Pay as you Grow" plan does not include reply tracking, which means parent responses won't show up in your conversations.
Pro Tip: Reliable parent communication is worth the investment. The Foundation plan ensures you never miss a response.
Step 2: Configure Your Sending Subdomain in Mailgun
Your sending subdomain ensures emails from Enrollio look professional and pass authentication checks.
- Create a subdomain from your root domain (example:
mail.yourchildcare.comorreply.yourchildcare.com) - Add DNS records provided by Mailgun to your domain settings
- Wait for propagation (typically 15-60 minutes, sometimes up to 24 hours)
- Verify DNS records in Mailgun once propagation is complete
- Under Sending > Domains, confirm a green checkmark appears next to your subdomain

Configure Domain Settings
Under Sending > Domain Settings in Mailgun:
- Turn on Click Tracking
- Turn on Open Tracking
- Turn on Unsubscribes (optional but recommended)
- Set Tracking Protocol to HTTPS — this creates an SSL certificate for your subdomain so your email links always work, even if your main domain's SSL expires

Set Up the Catch-All Route
Under Receiving in Mailgun, ensure a Catch-All Route is configured with the Enrollio webhook. This route should automatically create once you've entered your Mailgun API key and subdomain in Enrollio.

Step 3: Connect Mailgun to Enrollio
In Your Enrollio Dashboard
- Go to Enrollio Dashboard > Settings > Mailgun
- Enter your Mailgun API key and subdomain
- Associate them with the appropriate client account if managing multiple centers

In Your Client Account
- Switch to your Client Account
- Go to Settings > SMTP and Mailgun Service
- Confirm your subdomain appears and is set as the Default Provider

Optional Email Settings
Configure these only if needed:
- BCC Emails — sends copies of all outgoing emails to an external address
- Forwarding Address — sends all incoming parent replies to an external address
- Forward to Assigned User — sends replies to the staff member assigned to that family
Important Warning: If you or your staff reply to Enrollio emails from an outside email account (like Gmail), it breaks the reply thread. Future responses won't appear in your Enrollio conversations. Always reply from within Enrollio to keep all parent communication in one place.
Step 4: Set Your "From Name" and "From Email"
Enrollio needs to know who your emails should come from. Here's the order Enrollio checks for this information (it stops at the first one it finds):
- Individual email or bulk send — if you manually set a From Name and From Email when sending
- Automation configuration — the From Name and From Email you set for a specific automation or email action
- Automation settings — default From Name and From Email in the automation's overall settings
- Assigned user — the name and email of the staff member assigned to the family
- Company settings — your center's default name and email address
Pro Tip: Set your company name and email in Settings as a fallback. Then customize the From Name in specific automations for tour reminders, enrollment updates, etc.

Still Having Issues?
Email deliverability depends on many factors beyond basic setup — domain reputation, email content, engagement rates, and more.
If you've completed this checklist and are still experiencing problems:
- Send test emails to different providers (Gmail, Outlook, Yahoo)
- Check your spam folder and ask recipients to mark you as "not spam"
- Review your email content for spam triggers (excessive links, all caps, spam words)
- Consider booking a consultation with an email deliverability expert like Email-2-Inbox

- This checklist covers the most common setup requirements but may not address every scenario
- You are responsible for correctly configuring Mailgun, DNS records, and Enrollio settings
- Always test thoroughly after setup by sending emails to yourself and staff members
